Important and urgent
These are genuine deadline or consequence items that need attention soon. Too many items here can signal weak planning, unrealistic workload or outside emergencies.
Important, not urgent
Planning, preparation, learning and long-term project work often live here. Calendar protection is usually more useful than simply labeling them.
Urgent, less important
Some requests feel urgent because another person wants a quick response. Decide whether to delegate, shorten, batch or decline when appropriate.
Neither
Low-value tasks may be deleted, postponed or consciously kept as leisure. Not every non-work activity needs to justify itself as productive.
